BPO365 (“we”, “us”, “our”) respects your privacy. This policy explains how we collect, use, share and protect personal information when you visit bpo365.co.za or contact us, in line with the Protection of Personal Information Act 4 of 2013 (POPIA).
1. Who is responsible for your information
The responsible party is [Registered company name] (Registration no. [to be confirmed]), trading as BPO365, The Workstation, 1 Old Main Road, Umhlali, KwaZulu-Natal, 4390, South Africa.
Information Officer: [Name to be confirmed] · hello@bpo365.co.za · +27 87 501 0010
2. What we collect
- Enquiry details you give us through the contact form, email or phone: name, company, email address, phone number and the content of your message.
- Technical information your browser sends automatically: IP address, browser type, pages visited and the date and time of your visit, kept in standard server logs for security.
- Spam-protection signals: our contact form uses Cloudflare Turnstile to tell people from bots. Cloudflare processes limited device and interaction data for this purpose only.
We do not knowingly collect special personal information or information about children through this website.
3. Why we use it
- To respond to your enquiry and prepare proposals or quotes you ask for.
- To manage an existing or prospective business relationship with you or your organisation.
- To keep the website secure, prevent abuse and fix technical problems.
- To meet our legal and regulatory obligations.
We process personal information only where POPIA allows it: with your consent, to take steps you have asked for before entering a contract, to comply with the law, or for our legitimate interests in running and protecting our business.
4. Direct marketing
We will not send you unsolicited electronic marketing. If you are an existing client, or you opt in, you can unsubscribe from any message at any time.
5. Who we share it with
We do not sell personal information. We share it only with service providers who help us run the website and our business (for example hosting, email delivery and spam protection), who are bound to keep it confidential and secure, or where the law requires us to.
6. Transfers outside South Africa
Some providers, such as Cloudflare and Google Fonts, may process limited technical data outside South Africa. Where this happens we rely on providers that are subject to laws, binding rules or agreements offering protection substantially similar to POPIA, as section 72 requires.
7. How long we keep it
We keep enquiry information for as long as needed to deal with your enquiry and any resulting relationship, and no longer than the law requires or permits. Server logs are kept for a limited period for security purposes.
8. How we protect it
We use appropriate technical and organisational measures, including encrypted (HTTPS) connections, access controls, firewalls and regular updates, to protect personal information against loss, damage and unauthorised access.
9. Your rights
Under POPIA you may ask us to confirm whether we hold your personal information and request access to it, ask us to correct or delete it, object to its processing, and withdraw consent where we relied on it. Contact our Information Officer using the details above. Requests for records are handled under our PAIA & POPI Manual.
If you are unhappy with how we have handled your information, you may complain to the Information Regulator (South Africa): inforegulator.org.za · complaints.IR@inforegulator.org.za.
